Student Records Information
In order to ensure that all students' educational needs are met, information is collected and kept through:
- Cumulative Records
- Student Tracking
- Assessments
A student's Cumulative Record is all the information that a school maintains for the student.
1. Student Cumulative Record
A student's Cumulative Record contains factual, objective and professional information regarding a student's:
- Academic progress
- Mid-term and final marks
- Adaptations
- Attendance
The information is valuable for professionals in planning and delivering appropriate education programs and supports for the student from year to year, and for enabling teachers to understand the student's strengths. The Cumulative Record is also valuable for assisting in the successful transition of students to another school.
The Student Cumulative Records Guidelines provide information that boards of education, the Conseil scolaire fransaskois and other educational authorities may use to establish procedures for the creation, maintenance, storage and transfer of Cumulative Records.
2. Student Data System
A Student Data System enables student tracking and keeping record of the number of students in school.
Only authorized school and Ministry of Education officials can access a student's information. Strict guidelines are set to protect each student's information.
Acceptable use of the Student Tracking Application includes:
- Enrolling students into your school;
- Withdrawing students from your school;
- Updating student information; and
- Producing reports as required by an authorized entity.
Access the Student Data System
School Division Administrators may request access to Discoverer Viewer, which provides reports by extracting data from the Ministry Data Warehouse. For information on how to use the Discoverer Application to run predefined reports, please consult the Discoverer Viewer User Manual.
3. Student Data Collection and Use
In accordance with section 25 of The Freedom of Information and Protection of Privacy Act, this information is collected by the Ministry of Education for the following purposes:
- production of the official Transcript of Secondary Level Achievement;
- administration of Provincial Examinations;
- Student Tracking Program;
- to enable research and analysis to support planning and decision-making at the local level and provincial level; and
- to enable the Ministry of Education to meet its legal obligation to provide statistical information at the aggregate level on the Saskatchewan student population to the Government of Canada.
4. Student Assessment
Teachers develop their own assessment tools to measure achievement of curricular outcomes. Each student's achievement is measured on a student-to-student basis.
The goal of any assessment is to meet all students' learning needs.
